For sole traders and small firms
Your own domain. An inbox that does the admin.
A professional address at yourfirm.co.uk, search that understands what you mean, receipts and trips grouped from your mail — and a privacy promise in writing. Hosted in Europe. Never scanned for ads, never sold, never used to train AI.
Private by design
A privacy promise you can repeat to a client.
Hosted in Europe
Your mailboxes, attachments and account data are stored on servers in the European Union (Germany and France), under UK and EU GDPR.
Never scanned for ads. Never sold. Never used to train AI.
No ad profiling, no data resale, no AI training — in writing, in our privacy policy.
AI on our own servers
The AI that reads your mail to power search and organisation runs on our own servers in Germany, with an EU-resident fallback in Paris — never a US Big-Tech AI cloud.
Encrypted in transit, files at rest
TLS on the wire; attachments and stored files encrypted at rest under our own key. Message bodies are not encrypted at rest, and we say so on our Trust page.
What a one-person business actually needs from email
- Your own domain, properly set up. Mail from you@yourfirm.co.uk, DKIM-signed, with SPF and DMARC guided rather than guessed — so it lands in inboxes instead of junk.
- Find the message you remember. Search by keyword or meaning, see why each result matched, and open the original message for the full context.
- Receipts and trips, grouped from your mail. Money groups recognised receipt messages so you can inspect the merchant, amount and original email. Extraction can be incomplete, so verify important figures against the source.
- Inbox zero in minutes, not hours. Triage sorts every new email into "needs you" and "handled", so the day starts with the handful that matters.
- A straight answer on privacy when a client, customer or supplier asks where their correspondence is kept.
Setting up your domain
- Create your account. Start with a free 14-day trial of every feature — no credit card. Custom domains are included with Haven.
- Add your domain in Settings. Mailotte generates the DNS records it needs — MX, SPF, DKIM and DMARC — with guidance for each.
- Publish the records at your registrar, then verify. DNS takes a little time to propagate.
- Send and receive at your own domain. Outbound mail is DKIM-signed, including mail from your custom domain. Keep the old mailbox running until you've confirmed everything arrives.
What it costs
Haven: €9.99 a month, or €7.99 a month billed yearly. Prices include EU VAT where applicable; your local currency and final price are shown at checkout. Every account starts with a 14-day trial of every feature and no credit card — try the domain setup before you pay for anything.
Bring your old mail, keep your mail app
Import from Gmail, Yahoo or iCloud Mail over IMAP using an app password — see the switching guides for the exact steps per provider. Mailotte speaks native IMAP, SMTP and POP3 with an app password, so Apple Mail, Thunderbird, the Outlook desktop app and your phone's mail app connect directly. Switching provider does not have to mean switching software.
What we don't claim
Mailotte is not end-to-end encrypted by default — our servers process your mail to power its features. There is no one-click import and no automatic forwarding from your old provider: imports run over IMAP with an app password, and forwarding is set up at the old provider. If a tool promises you more than that, ask how.
Questions
Do I need a Haven plan for my own domain?
Yes. Custom domains are included with Haven and become active after the generated DNS records are published and verified. The 14-day trial unlocks every feature with no card, so you can set the domain up before deciding.
I already have a domain with my web host. Can I keep it there?
Yes. Your domain stays registered where it is; you only change its mail-related DNS records (MX, SPF, DKIM, DMARC) to point at Mailotte. Your website is unaffected.
Can I keep using Outlook or Apple Mail on my computer?
Yes. Mailotte supports IMAP, SMTP and POP3 with an app password, so desktop and phone mail apps connect directly — no bridge or helper app.
Where is my mail stored?
On servers in the European Union — Hetzner in Germany for mail and files, Clever Cloud in France for the database — under UK and EU GDPR. Under UK GDPR the EEA is treated as adequate, so storing your data in Germany and France needs no extra transfer safeguards.
Is it end-to-end encrypted?
No, not by default. Mail is encrypted in transit, and attachments and stored files are encrypted at rest with a key we hold; message bodies are not encrypted at rest. We never sell your mail, profile it for ads, or use it to train AI.
What happens when the trial ends?
If you don't upgrade you move to the Free plan. Nothing is deleted, and we never ask for a card up front. A custom domain needs Haven to stay active.
