The AI that reads your mail to power search and organisation runs on our own servers in Germany, with an EU-resident fallback in Paris β never a US Big-Tech AI cloud.

TLS on the wire; attachments and stored files encrypted at rest under our own key. Message bodies are not encrypted at rest, and we say so on our Trust page.
What you can say to a client
In plain terms, and all of it on our Trust and Security pages rather than in a sales call:
- Your mailboxes, attachments and account data are stored on servers in the European Union (Germany and France), under UK and EU GDPR. Under UK GDPR the EEA is treated as adequate, so storing your data in Germany and France needs no extra transfer safeguards.
- Mail is encrypted in transit. Attachments and stored files are encrypted at rest under a key we hold. Message bodies are not encrypted at rest β we would rather you knew.
- Nothing is scanned for ads, sold, profiled, or used to train AI.
- The AI that reads your mail to power search and organisation runs on our own servers in Germany, with an EU-resident fallback in Paris β not a US AI cloud.
- You can export or delete your data under GDPR β see GDPR & data protection.
Why the inbox matters as much as the hosting
- Find the message you remember. Search by keyword or meaning, see why each result matched, and open the original message. Mailotte does not replace the source email with an unsupported generated answer β the original is always one click away.
- Start the day with what needs you. Triage sorts every new email into "needs you" and "handled".
- Your practice's own domain, DKIM-signed, with SPF and DMARC guided β so a letter from you@yourpractice.co.uk looks like one.
- Aliases for intake. Give each enquiry route its own address and see which one received unwanted mail.
Sole practitioners today
Mailotte is a personal account: one person, one mailbox, your own domain. It is built for sole practitioners and very small practices rather than multi-seat firms with an IT department. If you need shared mailboxes or an admin console across many fee-earners, we are not there yet and would rather say so.
Setting up your domain
- Create your account. Start with a free 14-day trial of every feature β no credit card. Custom domains are included with Haven.
- Add your domain in Settings. Mailotte generates the DNS records it needs β MX, SPF, DKIM and DMARC β with guidance for each.
- Publish the records at your registrar, then verify. DNS takes a little time to propagate.
- Send and receive at your own domain. Outbound mail is DKIM-signed, including mail from your custom domain. Keep the old mailbox running until you've confirmed everything arrives.

Bring your old mail, keep your mail app
Import from Gmail, Yahoo or iCloud Mail over IMAP using an app password β see the switching guides for the exact steps per provider. Mailotte speaks native IMAP, SMTP and POP3 with an app password, so Apple Mail, Thunderbird, the Outlook desktop app and your phone's mail app connect directly. Switching provider does not have to mean switching software.
What we don't claim
Mailotte is not end-to-end encrypted by default β our servers process your mail to power its features. There is no one-click import and no automatic forwarding from your old provider: imports run over IMAP with an app password, and forwarding is set up at the old provider. If a tool promises you more than that, ask how.
Questions
Is Mailotte end-to-end encrypted?
No, not by default. Mail is encrypted in transit, and attachments and stored files are encrypted at rest with a key we hold; message bodies are not encrypted at rest. For a matter that demands end-to-end encryption, use a dedicated tool for that exchange.
Does the AI read privileged correspondence?
The AI runs on our own servers in Germany to power search and organisation, so yes, it processes your mail there β the same way search in any mail service does. It is never trained on your mail, and no US AI cloud is involved in that path.
Where exactly is the data?
On servers in the European Union β Hetzner in Germany for mail and files, Clever Cloud in France for the database. Our full sub-processor list is on the Security page.
Can I keep using Outlook on my desktop?
Yes, over IMAP/SMTP with an app password. What Mailotte does not offer is an import from Outlook.com mailboxes; imports are supported from Gmail, Yahoo and iCloud Mail.
Can I leave with my data?
Yes. Mail is standard IMAP, so any client or provider can take it, and you can request a complete export of your data, or deletion of your account, under GDPR.
