TLS on the wire; attachments and stored files encrypted at rest under our own key. Message bodies are not encrypted at rest, and we say so on our Trust page.
What Money does — and doesn't
- Groups recognised receipts. Money groups recognised receipt messages so you can inspect the merchant, amount and original email. Extraction can be incomplete, so verify important figures against the source.
- Keeps travel in one place. Travel groups supported flight, hotel and transport confirmations and keeps a link to the source message for changes or missing details.
- Finds the invoice you remember. Search by keyword or meaning, see why each result matched, and open the original message for the full context.
- Is not bookkeeping software. There is no ledger, no Xero or QuickBooks integration and no filing to HMRC. Money is a better-organised inbox, not a replacement for your practice tools.
Client confidentiality, in plain terms
- Your mailboxes, attachments and account data are stored on servers in the European Union (Germany and France), under UK and EU GDPR. Under UK GDPR the EEA is treated as adequate, so storing your data in Germany and France needs no extra transfer safeguards.
- Encrypted in transit; attachments and stored files encrypted at rest under a key we hold. Message bodies are not encrypted at rest — we say so rather than imply otherwise.
- Nothing is scanned for ads, sold, profiled, or used to train AI, and the AI that powers search runs on our own servers in Germany with an EU-resident fallback in Paris.
Sole practitioners today
Mailotte is a personal account: one person, one mailbox, your own domain. It suits sole practitioners and very small practices; shared mailboxes and multi-seat admin are not built yet, and we would rather say so than sell them.
Setting up your domain
- Create your account. Start with a free 14-day trial of every feature — no credit card. Custom domains are included with Haven.
- Add your domain in Settings. Mailotte generates the DNS records it needs — MX, SPF, DKIM and DMARC — with guidance for each.
- Publish the records at your registrar, then verify. DNS takes a little time to propagate.
- Send and receive at your own domain. Outbound mail is DKIM-signed, including mail from your custom domain. Keep the old mailbox running until you've confirmed everything arrives.
What it costs

Bring your old mail, keep your mail app
Import from Gmail, Yahoo or iCloud Mail over IMAP using an app password — see the switching guides for the exact steps per provider. Mailotte speaks native IMAP, SMTP and POP3 with an app password, so Apple Mail, Thunderbird, the Outlook desktop app and your phone's mail app connect directly. Switching provider does not have to mean switching software.
What we don't claim
Mailotte is not end-to-end encrypted by default — our servers process your mail to power its features. There is no one-click import and no automatic forwarding from your old provider: imports run over IMAP with an app password, and forwarding is set up at the old provider. If a tool promises you more than that, ask how.
Questions
Will it catch every receipt?
No. Money groups the receipt messages it recognises, and extraction can be incomplete, so verify important figures against the source. Treat it as a faster way to find and check receipts, not as a source of record.
Does it connect to Xero, QuickBooks or FreeAgent?
Not today. Money shows the merchant, amount and original email so you can carry figures into your practice software yourself.
Is it end-to-end encrypted?
No, not by default. Mail is encrypted in transit, and attachments and stored files are encrypted at rest with a key we hold; message bodies are not encrypted at rest.
Can I keep using Outlook or Apple Mail on my desktop?
Yes, over IMAP/SMTP/POP3 with an app password. Imports into Mailotte are supported from Gmail, Yahoo and iCloud Mail.
Where is my data?
On servers in the European Union — Hetzner in Germany for mail and files, Clever Cloud in France for the database. The full sub-processor list is on the Security page.
